Booking terms and conditions
Hotels, restaurant- and conference services: Groups min. 11 pax
These terms are valid in bookings with max 30 rooms or max 50 people. The bigger groups will be agreed separately.
All cancellation and alterations has to be in Lapponia Tours Ltd in written during office hours (Mon-Fri) – latest by 16.00 (4 PM) local time. Later arrived information is regarded to be received in following working day.
Cancellation/alteration fees apply for the whole booked period not just for the first night.
Accommodation in Hotel
Booking is confirmed, when advance payment 15 % of total amount has been paid in the account of Lapponia Tours Ltd by due date. Advance payment is non-refundable.
Final payment has to be paid latest 2 months prior arrival.
Cancellation of whole group
When confirmed hotel accommodation is cancelled, the following conditions will be applied:
- Over 60 days prior arrival: 15 % advance payment will be charged
- 59 – 30 days prior arrival: 50 % of total booking amount will be charged
- 29 – 0 days prior arrival: 100 % will be charged
Christmas, New Year, Easter and other Event periods – booking terms to be settled case-by-case.
Changes in group size: Accommodation in Hotel
When number of participants in confirmed booking will be reduced, the following conditions will be applied:
- 59 – 15 days prior arrival:
- 50 % cancellation fee
- 14 – 0 days prior arrival:
- 100 % cancellation fee
When number of participants in confirmed booking will be bigger, Lapponia Tours Ltd will confirm the new number of group if hotel capacity allows.
Changes in group size – lunch/dinner, meeting and conference services
We follow the +/- 10% policy:
- confirmed group size must be informed 30 days prior arrival
- if group size reduces 10 % from original booking, will 10 % of invoice be reduced – information must be in Lapponia Tours Ltd latest 5 working days prior arrival
- if group size is bigger than originally informed, will invoicing be according to actual number of participants
- if whole lunch/dinner is cancelled 5 days prior arrival, will raw material be invoiced
- if whole lunch/dinner is cancelled 5-0 days prior arrival, will raw material and pre-preparation costs be invoiced
Name of group, menus, times for lunch/dinner, allergies, name list with room division (group leader and phone number), nationality, stay of clients and all possible special wishes must be informed to Lapponia Tours Ltd latest 2 weeks prior arrival.

Right to chance rates
Lapponia Tours Ltd reserves the right to change rates, if number of participants will alter in any booked service and the given rate has been based partly or totally on number of participants.
Lapponia Tours Ltd reserves the right to change budgeted and estimated rates, if the purchase costs will increases remarkably – remarkable change in booked services

Applicable law and place of litigation
The Contracting Parties shall strive to solve disputes concerning the Contract together through negotiations. In the event an agreement cannot be reached through negotiations disputes shall be carried out in the Rovaniemi district court. The Contract is bound by Finnish law. Lapponia Tours Ltd shall not be liable for changes arising subsequent to this publication which are beyond our control, for example force majeure (strike, fire, water damage, nature disaster etc.). Lapponia Tours Ltd reserves the right to make changes.

Paytrail Plc acts as a collecting payment service provider and is an authorized Payment Institution. Paytrail Plc will be shown as the recipient on your bank or credit card statement. Paytrail Plc will forward the payment to the merchant. For reclamations, please contact the website the payment was made to.
