Individuals and small groups: Accommodation
Lapponia Tours Ltd applies the following conditions in ordering and reserving of lodging services and cancellation of booked lodging services. Both parties are bound by these conditions once the customer has made a reservation.
The person making the reservation must be of legal age.
Reservations and payment
An accommodation reservation is confirmed when the deposit of 30 % of the lodgings’ gross price plus office costs has been paid by the due date.
The deposit invoice and final invoice will be sent together. The final payment must be made, at the latest, 6 weeks prior to the beginning of the stay. At the same time, the customer will be sent instructions for picking up and returning the keys, the Lapponia Tours Ltd`s booking terms and conditions and description (-s) of booked lodgings.
The customer is responsible for ensuring that all documents related to the booking have been read.
Non-payment is not a cancellation. Lapponia Tours Ltd reserves the right to cancel a reservation in the event, that the payment is not made by the due date.
Reservations on the internet
When making a accommodatioon reservation on the Internet, the customer can choose the method of payment desired.
- Pay the deposit immediately and print out the final invoice and pay it by the due date.
- Pay the full sum immediately. If the reservation date is less than 8 weeks prior to the arrival date, only final invoice for the total sum is due to be paid immediately.
When reserving via the Internet, the customer shall be responsible for obtaining the receipt of payment, invoice, and booking terms and conditions. The reservation system will send confirmation to the email address provided by the customer upon registration. The personnel of Lapponia Tours Ltd will send a confirmation and instructions for picking up and returning the keys.
The customer must ensure that, after the payment transaction, he/she returns to the confirmation page of Lapponia Tours Ltd`s reservation system. If after the payment the customer does not return to the Lapponia Tours Ltd’s pages, the reservation will not be registered, and the reservation system will not send an email confirmation of the reservation.
Lapponia Tours Ltd shall not be liable for failed reservations; the customer must contact Lapponia Tours Ltd immediately for assistance. In this situation, Lapponia Tours Ltd will not guarantee that the lodgings will still be available. In the event that the lodgings are not available, the payment will be refunded, or the customer will be offered other lodgings according to availability.
Right to change prices
Lapponia Tours Ltd reserves the right to correct errors in price information before the conclusion of the contract.
Lapponia Tours Ltd shall not be bound by an error in the listed price if the price is so clearly erroneous that it is reasonable to expect the customer to notice it. Examples of such cases include a situation where the difference between the listed price and the actual price is substantially large or when the erroneous price can be considered exceptionally low compared to the general price level.

A cancellation is considered as having occurred at the moment Lapponia Tours Ltd receives written word about the cancellation.
If customer cancels reservation
- 31 days or more prior to the beginning of the accommodation period, cancellation fee is 30 % of the lodgings’ gross price + the office costs.
- 0-30 days prior to the beginning of the accommodation period, cancellation fee is 100%.
Cancellation due to medical reasons
If a cancellation occurs as a result of serious illness or death affecting the customer who has made the reservation, or his/her immediate family 48 hours prior to the beginning of the accommodation period, the payment will be refunded after deductions of the deposit (30 % of the lodgings’ gross price) and the office costs. In this event, a medical certificate must be provided as cause for cancellation. In the event, that such a cancellation occurs less than 48 hours prior to the beginning of the reservation period or during the reservation period, the customer will receive no refund.
Change of lodgings or date of holiday
If the customer changes the lodgings or the date of the stay the old reservation shall be considered cancelled and the new lodgings or date of stay shall be considered a new reservation. Standard booking and cancellation terms and conditions are applied.
COVID-19 Travel Restrictions and Flight Cancellations
The customer does not have the right to deviate from the booking terms and conditions and does not have the right to cancel their booking on the basis that the customer who made the booking or the lodgers are not able to arrive at the lodgings at the booked arrival time as a result of the travel restrictions imposed by Finland or the country of departure as a result of the COVID-19 epidemic. Travel restrictions do not count as “Force Majeure” events/circumstances, as international/national travel restrictions which are due to the COVID-19 epidemic are not unforeseen. In this situation, the customer’s cancellation and no-shows will be subject to the standard booking terms and conditions.
The above also applies in the event, that the customer or the lodgers cannot enter Finland due to the cancellation of flights or changes in schedules. Flights may be cancelled and rescheduled due to the COVID-19 epidemic and are not “Force Majeure” events/circumstances as these circumstances are not an unforeseen situation.
Lapponia Tours Ltd´s right to cancel the reservation
Lapponia Tours Ltd reserves the right to cancel a reservation in the event of Force Majeure. In this case, the customer shall have the right to a full refund of the payment.
If the deposit is not paid by the due date, Lapponia Tours Ltd reserves the right to cancel the reservation.
Staying at the destination
Holiday lodgings are mainly at the disposal of the customer and/or lodgers from 4 p.m. on the day of arrival until 12 p.m. on the day of departure.
- It is expected that the customer and/or the lodgers will behave with good manners while residing in lodgings.
- Furniture must be returned to its original places.
- It is not allowed to move any belongings from one lodging to another.
- If lodgings are extremely dirty and require exceptionally more time for cleaning, including return of heavy furniture to original places, Lapponia Tours Ltd has the right to send an extra invoice to the customer.
- If the paid price does not include end-of-stay clean and customer and/or the lodgers did not clean the lodgings properly, Lapponia Tours Ltd has the right to double charge for normal end-of-stay clean.
- Customer or lodgers must use linen. It is prohibited to use sleeping bags in lodgings. Please check your invoice whether linen, towels, end-of-stay clean and wood for the fireplace are included in the price (vary depending on lodgings).
- Any camping (caravans, tents) or use of extra hired equipment (for example outdoor hot bathtub) is prohibited on the premises of the lodgings.
- Charging the electric cars is allowed in some lodgings for extra charge – please check the description.
- A separately ordered end-of-stay clean service, or an end-of-stay clean service included in the rental price of the lodgings, does not include washing dishes, returning them to their original place, or removing garbage. Customers or lodgers must also remove empty bottles and cans from the lodgings. Any food must be taken away or to the waste disposal point.
- If the customer or the lodgers rented linen and towels, or if these were included in the rental price of the lodgings, they must be left in a pile on the bed.
Number of lodgers
The maximum number of lodgers per lodging stated in the invoice is prohibited to exceed.
Smoking is prohibited inside all lodgings
Smoking is prohibited inside all lodgings. If the rule has been broken, Lapponia Tours Ltd reserves the right to collect a surcharge for extra cleaning, minimum 300 Euros.
Pets may be brought into lodgings where pets are allowed. There is a surcharge per pet/booked lodging. Pet wastes must be gathered away and taken into the garbage.
Upon departure, the customer or the lodgers shall be liable to make sure that the windows of the lodging are closed, and the doors are locked. The customer who made the reservation shall be liable for compensating, in full, for the caused damages to the lodgings or its belongings. The guardian of minors shall be liable for damages caused by minors.
If on-call services are required outside of working hours for a reason brought on by a customer or a lodger (i.e. key lost or other reason), an hourly compensation of 50 Euros/h will be charged, on Sundays and holidays 100 Euros/h (incl. VAT).
If the key is lost, Lapponia Tours Ltd reserves the right to charge the real expenses and service fee (minimum 400 Euros).
We recommend the customer to take a personal travel insurance to compensate any caused damages.
Dissolution of rental agreement resulting from disturbance or a hazardous situation
In the event that the customer or the lodgers does not stop causing disturbances or hazardous situations on the premises or on neighboring premises, despite a warning given by Lapponia Tours Ltd’s personnel/lodging’s caretaker, Lapponia Tours Ltd reserves the right to dissolve the rental agreement immediately. Expenses incurred as a result of all previously mentioned actions shall be charged to the customer who made the reservation. The customer will receive no refund.
All observations and complaints concerning the equipment and condition of the lodgings must be directed immediately as they occur during the holiday to lodging’s caretaker. The contact phone number can be found in the Cabin Book of the lodgings.
- Complaints made later will not be taken into account.
Lapponia Tours Ltd is not directly responsible for the equipment and condition of the lodgings. Customer or the lodgers can also make a complaint to Lapponia Tours Ltd, if the problem was not solved with the lodging’s caretaker to satisfaction of both parties.
Lapponia Tours Ltd is not liable to compensate the natural conditions, insects, voles, sudden weather changes, constructions on adjacent plots, the changes in the cottage (made by the owner of the cottage) which have not been informed of to the Lapponia Tours Ltd Office or any third party caused problems (eg, blackouts with water, electricity, internet- or TV network) to the customer for any inconvenience or expense.
We collect a separate service charge for the return of lost belongings, 20 Euros + postage. The found belongings are kept for 3 months.
Applicable law and place of litigation
The Contracting Parties shall strive to solve disputes concerning the Contract together through negotiations. In the event an agreement cannot be reached through negotiations disputes shall be carried out in the District Court of Lappi. The Contract is bound by Finnish law. Lapponia Tours Ltd shall not be liable for changes arising subsequent to this publication which are beyond our control. Lapponia Tours Ltd reserves the right to make changes.

Paytrail Plc acts as a collecting payment service provider and is an authorized Payment Institution. Paytrail Plc will be shown as the recipient on your bank or credit card statement. Paytrail Plc will forward the payment to the merchant. For reclamations, please contact the website the payment was made to.
